Side by Side – Wellbeing & Support
Last updated: 15 October 2026
Your privacy matters to me. This policy builds on Side by Side’s customer Privacy Notice dated 29 September 2026 and explains how information is handled when you visit this website, get in touch or send a review.
Who is responsible?
I’m Hayley, the sole trader behind Side by Side and the data controller for the personal information I use. For any privacy questions or requests, email sidebysidewithhayley@gmail.com or call 07864 806760.
Enquiries and contact
The website’s enquiry, contact and review buttons open your own email application. There is currently no online submission form or website database holding your messages. The “little note for our chat” choices stay in the current page and are added to an email draft when you select Email Hayley. Nothing is sent to me until you send that email.
When you contact me, I receive the details you choose to share, such as your name, email address, telephone number, message and information about the support you are looking for. Emails are delivered to the Side by Side Gmail account. Calls and texts are handled through the business contact number.
I use these details to reply, discuss suitable support and make arrangements with you. Please share only what is needed for an initial chat. Avoid sending detailed medical information, key-safe codes or other highly sensitive details by email. If you enquire for someone else, please make sure you are entitled to share their information.
Reviews and your permission
The review button opens an email draft asking for your feedback, your connection to me and permission to publish. Reviews are checked before publication. With your permission, your review may appear publicly on this website using an anonymous relationship label, without your name or photograph. Please leave out details that could identify someone receiving support.
You can withdraw permission for a review by contacting me. I can remove it from this website, although copies already made by others or search engines may remain outside my control.
Why I may use your information
As set out in my existing Privacy Notice, I use an appropriate lawful basis for each purpose: steps towards a contract or carrying out our agreement when arranging support; legitimate interests when responding to general enquiries and keeping appropriate records; and consent when publishing reviews. You can withdraw consent at any time without affecting earlier lawful use.
Health information needs additional protection. If support is arranged, I will discuss the information needed and the appropriate basis for using it, including explicit consent where applicable. The full customer Privacy Notice covers service records, including health information, emergency contacts and relevant information from healthcare providers or councils. Please contact me for a copy.
Storage, protection and sharing
Enquiry and review emails are stored in the Side by Side Gmail account, rather than in this website’s files. A published review becomes part of the public website. The site uses HTTPS to protect the connection between your browser and the website. Email also depends on your email provider and Google’s services; no internet service can guarantee complete security.
Information is used for the purpose you contacted me about. Relevant information may also need to be shared with healthcare providers, safeguarding organisations or emergency services where necessary and lawful, as described in my customer Privacy Notice.
Website hosting and delivery use OpenAI Sites and Cloudflare. Loading pages involves technical information such as your IP address, requested page, time and browser details being processed by hosting and security services. Google supplies Gmail and the website’s fonts. Google Fonts requests disclose technical information such as your IP address and browser request details to Google. These providers may process information outside the UK; this policy does not promise UK-only storage or a specific deletion period for their technical logs.
Further details are available in the OpenAI Privacy Policy, Cloudflare Privacy Policy and Google Privacy Policy. Your own email provider’s privacy terms also apply when you send a message.
How long information is kept
My existing Privacy Notice sets the following retention approach: unsuccessful enquiries are normally kept for 12 months after the last contact; client records for six years after support ends; and financial and tax records for at least five years after the relevant 31 January Self Assessment submission deadline. Longer retention may be needed for an ongoing complaint, legal claim, safeguarding matter, HMRC enquiry or another legal requirement.
Review correspondence is kept while needed to manage your feedback and permission; a published review remains on the website while that permission continues and the review is relevant. These are record-keeping periods, not an automatic website deletion system. Contact me if you would like information reviewed or deleted. Provider logs, backups and copies held by your email provider are subject to their own arrangements.
Cookies and similar technology
The website’s own code does not use analytics, advertising trackers, cookies or browser storage. The note builder keeps choices only in the current page. Google Fonts is loaded to display the website’s typefaces.
Cloudflare’s __cf_bm security cookie was present when this policy was checked. It helps distinguish automated traffic from genuine visitors and expires after 30 minutes of inactivity. It is used for website security, rather than advertising. See Cloudflare’s cookie information. You can manage or delete cookies in your browser settings; blocking security cookies may affect access to the site.
Your choices and rights
Depending on the circumstances, you can ask to access or correct your information, have it deleted, restrict or object to its use, or receive a portable copy. Where I rely on consent, you can withdraw it. Contact me using the details above. I will respond without undue delay and normally within one month, subject to lawful exemptions or extensions.
If you have a concern, please contact me first so I can try to put things right. You can also complain to the Information Commissioner’s Office (ICO), telephone 0303 123 1113.
This policy will be updated if the website’s information handling changes.
